Send Bulk Email in Excel using Power Automate

Welcome to Excel Jet Consult blog post. In this tutorial, we will learn how to send bulk email in Excel using the Power Automate. Let’s get started.

Sample Data

In the caption below, we have a sizeable list of HR Employee Records showing Emp ID, Name of Employee, Date Hire, Position, Bonus, Monthly Salary and very importantly, a sample email address (yahoo and gmail)

Format Data As Excel Table

In order to use this sample dataset, it is important we format as Excel Tables. Therefore,

  • Click inside the dataset and deploy CTRL + T
  • In the Create Table dialogue box, my table has headers is automatically checked which is fine.

  • Click OK

In the far left of the Table Design contextual ribbon tab, I provided HR_Records as the Table Name. Note, it is required to hit the Enter button after renaming the Table.

Insert Power Automate Add-in

Next, we need to insert the Power Automate add-in from the Get add-ins. 

  • In the Add-ins group of the Insert tab, click on Get Add-ins
  • In the Office Add-ins dialogue box, search for Microsoft Flow for Excel (Preview)
  • Click on Add 

  • Click on Continue

The Add-in will be visible in the far right of the Data tab as seen below

Save Workbook in OneDrive or SharePoint

Next, there is need to save a copy of the workbook on either OneDrive for Business or SharePoint. This would allow us to create connection to the table when setting up our Flow Triggers. For this example, I will save the workbook on my Microsoft Tenant

  • Click on File tab
  • Select Save as
  • Select OneDrive as seen below

  • Click on Save 

View Saved Excel Workbook

We can view the saved Excel workbook

  • Proceed to Office.com and sign in with you credentials

Flow Triggers Set-up

  • In the Data tab, click on Flow

  • Click on Sign in and provide login credentials

Once signed it, you will see the caption below which allows us to setup Flow from the scratch or build using templates

In our case, we want to build from scratch. Therefore,

  • Click on New located at the top left corner
  • Select Instant-from blank
  • In the Location drop-down, select OneDrive For Business
  • In the Document Library drop-down, select OneDrive
  • In the File browse through, select Send Bulk Email in Excel using Power Automate
  • In the Table drop-down, select HR_Records 

The above steps completes the setup for our triggers.

See the caption below

  • Click on New Step

In this case, we want to choose our connector and action which will execute the flow through the triggers

Since, this blog is about sending email, we will search for Email connector and action

  • In the Search button, type in Email and double-click
  • Click on Send an email notification (V3)

Compose Email

Next, we want to compose our email going to all the employees we gonna select for each rows.

  • In email To box, select Email with Excel icon
  • Scroll down
  • In the Subject box, I typed in XYZ Company Bonus for Staffs
  • In the Body of the mail, kindly refer to the video for elucidation for better understanding. Kindly see the caption below

  • Scroll down and click on Save
  • Click on the Back button located at the top left corner of the Flow task pane

Run Flow

Finally, we can see our flow ready to run. See image below

To successfully run the Flow, select all the rows from the main dataset

  • Click on Run
  • Click on Continue
  • Finally click on Run Flow

Your flow run successfully started 

  • Click on Done

Verify by Checking Email

We have successfully automate the task of sending individual mail by sending them in bulk. We want to verify whether our emails actually delivers to the email address

From the caption above, we can see that the email delivered to my Yahoo Mail which implies that it worked perfectly

Conclusion

We have see how easy to send email in Excel to many email address. This is a game changer!
