Creating and Managing Workspaces in Power BI Service

In Power BI Service, workspaces act as containers that holds reports, dashboards, and datasets, making it easier to manage and share content with others users and groups within an organization. In this blog, we are going to consider how to create and manage workspaces in the Power BI Service.

Creating a Workspace

Sign In to Power BI Service

Before creating a workspace, it is required to sign in to Power BI Service using your Microsoft or organizational account.

Step 2: Navigate to Workspaces

Once you are logged in, click on the Workspaces tab located in the left-hand navigation pane. This will take you to the Workspaces page.

Step 3: Create a New Workspace

To create a new workspace, click the Create a workspace button.

Step 4: Configure Workspace Settings

You will be prompted to configure your new workspace’s settings:

  • Name: Give your workspace a descriptive name that reflects its purpose or the team using it.
  • Description: Optionally, you can add a brief description to provide more context about the workspace.
  • Members: Add members to your workspace by entering their email addresses. These members will have access to the workspace content.

In this blog, Sample Workspace is given as the workspace name as seen below.

Step 5: Advanced Settings (Optional)

If you need more control over workspace settings, click the Advanced button. Here you can configure options like member permissions and content retention.

Step 6: Create the Workspace

Click the Apply button to create your workspace. It will now appear in your list of workspaces on the Workspaces page.

Managing Workspaces

Adding Content

To add reports, dashboards, and datasets to your workspace, simply navigate to the item you want to include, click the “Publish” or “Move” button, and select your workspace from the list.

Editing Workspace Settings

You can edit the settings of an existing workspace by clicking on the workspace name and selecting “Workspace settings.” Here, you can modify the workspace name, description, and member list.

Sharing Workspaces

To share a workspace with others, open the workspace and click the “Access” tab. From here, you can invite additional members or adjust their permissions.

Deleting a Workspace

If you no longer need a workspace, you can delete it. Please note that deleting a workspace will permanently remove all its content. Here’s how:

Step 1: Open the Workspace

Navigate to the workspace you want to delete.

Step 2: Access Workspace Settings

Click on the workspace name, then select Workspace settings.

Step 3: Delete the Workspace

Scroll to the bottom of the settings page, and you will find the Remove this workspace button. Click it to initiate the removal process.

Step 4: Confirm Deletion

A confirmation dialog will appear. To finalize the deletion, confirm your action by typing in the name of the workspace. This serves as a precaution to prevent accidental deletions.

Step 5: Permanently Delete the Workspace

Once confirmed, the workspace and all its content will be permanently deleted.
